This policy explains what personal information Lawlor Taxis Ltd collects when you use our website, our booking app or our services, why we collect it, and your rights over it. We only use your information to run our taxi service, and we never sell it.
Who we are
Lawlor Taxis Ltd (“Lawlor Taxis”, “we”, “us”) is a licensed private hire operator based at Epping Station, Station Approach, Station Road, Epping, Essex, CM16 4HW. We are the controller of the personal information described in this policy.
You can contact us about your information by phone on 01992 577 888, through our contact page, or by post to the address above.
What information we collect
- Booking details: your name, phone number, email address, pickup and drop-off addresses, journey dates and times, flight numbers for airport collections, number of passengers and luggage, and any notes you give us.
- Payment information: card payments are handled by our payment provider. We do not store your full card number. For card authorisations we keep only what we need to complete the payment.
- Account and app information: if you use our app or a corporate account, your login details, saved addresses and booking history.
- Messages and forms: anything you send us through our contact, complaints, card authorisation or driver application forms, by phone or by email.
- Driver applicants: if you apply to drive with us, the details and documents you send with your application, such as your licence and badge details.
- Website usage: technical information such as your IP address, browser type and the pages you visit, collected through cookies and similar tools (see “Cookies” below).
- Location during a journey: our booking system records the vehicle’s location so we can dispatch cars and let you track your driver in the app.
How and why we use it
- To take, plan and complete your bookings, keep you updated and let you contact your driver. The legal basis is that it is necessary to perform our contract with you.
- To take payment and keep accounting records. This is necessary for our contract with you and to meet our legal obligations.
- To keep the booking and journey records our licensing authority requires of private hire operators. This is a legal obligation.
- To answer questions, handle complaints and deal with lost property. This is in our legitimate interests in providing good customer service.
- To assess driver applications. This is necessary to take steps before entering into a contract with you, and to meet our licensing obligations.
- To keep our website secure, prevent spam and fraud, and understand how the site is used so we can improve it. This is in our legitimate interests or, where required, based on your consent.
- To send you offers or voucher codes, only where you have agreed to receive them. You can opt out at any time.
Who we share it with
We share information only where needed to run our service, with:
- the driver carrying out your journey;
- our booking and dispatch system provider, which runs our online booking, app and driver systems;
- payment providers that process card payments;
- our website host and the plugins that run our website forms and spam protection;
- analytics and advertising providers such as Google, where you have allowed the relevant cookies;
- your employer, if you travel on their corporate account;
- our licensing authority, the police or other bodies where the law requires it.
Some of these providers may process information outside the UK. Where they do, we make sure appropriate safeguards are in place, such as an adequacy decision or standard contractual clauses.
How long we keep it
We keep booking and journey records for as long as our private hire licensing conditions require, and financial records for as long as tax law requires. We keep enquiries and complaints for as long as needed to deal with them and any follow-up. Unsuccessful driver applications are deleted once we no longer need them. After that, information is securely deleted or anonymised.
Cookies
Our website uses cookies and similar technologies. Some are essential for the site to work, such as security and spam protection on our forms. Others help us understand how the site is used and measure our advertising. You can control non-essential cookies through your browser settings, and you can delete cookies at any time.
Our voucher code page counts how many people reveal the current code. To stop the same person being counted twice, it briefly stores a one-way coded version of your IP address for up to 12 hours, and a note in your browser that you have already revealed the code.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct information that is wrong;
- ask us to delete your information, where we no longer need to keep it;
- object to or ask us to restrict how we use it;
- ask us to transfer information you gave us to another organisation;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, contact us using the details above. We will respond within one month.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
